Creating a new institution in Banner (STVSBGI/SOASBGI)
Search Banner to ensure the institution doesn’t already exist
In STVSBGI, execute a query to make sure the institution isn’t already in the database. Search multiple ways to ensure the institution doesn’t already exist. (%xxxx%)
Create the new institution - STVSBGI
If the institution isn’t found, Insert a new record.
Enter the FICE code as the Source. (If not available use Tulane numeric schema - next number available starting with 9XXXXX)
Enter a description (name of the institution) - If the institution is not regionally accredited, include “(NA)” at the end of the name. For example “Tulane Univ (NA)”.
Enter C for College in the type field
Source indicator should not be checked
Admissions Request is CTR1
Admissions Request Description is College Transcript 1
Enter the CEEB code.
Verify the code on the College Board website.
Enter the 6-digit code. Add “00” if the code is only 4 digits
International institutions don’t have FICE codes.
Save.
Add additional information in SOASBGI
Enter the institution code. Go.
Enter the address. Save.
In the Comments section enter the website and phone number.
Save.
If the institution is not regionally accredited, add this to the Comments field as well.
Notes
To change an institution’s name, overwrite the Description (title) in STVSBGI. In SOASBGI, indicate former name in the Comments block.
Make sure that the transcript legend clearly indicates that the institution went through a name change rather than a restructuring. Consult with the Registrar’s Office before proceeding.
CEEB codes
Almost all Institutions are in Banner using the CollegeBoard (CEEB) code. Wildcard (%) searches in Banner for the Institution Name or Institution City are helpful in locating the Institution under a different code if the CEEB code is attached to another Institution or not in Banner (Great Example: John Cabot University—CEEB Code is 2795, but we articulate on manually created 965805 code since 2795 was already in use as St Fidelis College in Banner).
