Removing a prior college (SOAPCOL)
Prior to deleting the institution, confirm that the student has no enrollment record at the school. This can be done by contacting the Registrar’s Office or Enrollment Services for the institution and providing the student’s name and date of birth.
If the student has an enrollment record, the institution should not be removed from the transcript.
If the student does not have an enrollment record, a letter of non-attendance should be requested in order to remove the institution from the transcript. Once the institution has been removed from SOAPCOL, the Letter of Non-attendance should be uploaded into BDM in SGASTDN on the misc. tab.
If an incorrect institution shows as a prior college on the student’s transcript, it was entered in SOAPCOL.
Enter the student’s ID and Go. If the prior college has data in the Degree Details block, it has to be deleted before the prior college can be deleted. Next block to Degree Details.
Click Delete.
Confirm by clicking the Yes button in the warning message.
Click Start Over.
In the Prior College block, click Delete. Save.
ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
