Marking a student as deceased (SPAIDEN)

Documentation related to a student’s death can include the death certificate or obituary. If you’re not sure if what you’ve been provided is sufficient, ask a leadership team member.

In the SPAIDEN key block, enter the student’s ID number and Go.

Mark as deceased in SPAIDEN

Select the Biographical tab. Check the Confidential box (if not already) and check the Deceased box.

Enter the Deceased Date. Save.

Drop courses (if applicable)

Check to see if the student is registered in the current/upcoming term. If not registered, upload documentation to BDM.

  • If registered and grades have not been posted, drop all courses with DD.

  • If registered and grades have been posted, stop and speak with Colette before proceeding.

Indicate as deceased in SFAWDRL

Whether registered or not registered, in SFAWDRL, enter the DD (Deceased) Withdrawal Code. Enter the Effective Withdrawal Date as the date of death.

Upload all supporting documentation to BDM.

Alert Erica Woodley so that she can disseminate the information to the appropriate people on campus.
