Updating student types - SHRTYPE & REG_ROLL_SORCTRM_CONFIG_M
This process will update “New” student types to “Continuing” student types. It also resets TA and RA student types to “Continuing Graduate”. The process should be run after the last day of a term - check POT 1 date on SOATERM.
NOTE: A student’s type will not roll until a term header record exists for the student in that term. Run this job multiple times after the end of each term to catch students who may have been graded late.
Prior to running this process
Student type changes will negatively impact students who have submitted graduation applications. Prior to running the SHRTYPE process, students with SHAGAPP records must be identified so that they can be corrected after the process completes.
Run Cognos report GRAD_APP - Basic List (or some other grad app report that includes student type)
Highlight any students with student types that will roll to a different student type by the SHRTYPE process
These are the student types with values in the “Next Student Type” column
After the SHRTYPE process completes, ensure that the students' SHAGAPP records are complete and correct
SHAGAPP records may need to be recreated
Prepare the roll
Check to ensure the Banner Rules Form is correct by confirming Next Student Types in STVSTYP.
Check to ensure that values exist for the term and student type on SOACTRM.
If no values exist, run REG_ROLL_SORCTRM_CONFIG_M for current term – TERM JUST ENDING!!
If new student types have been created (this is rare) then make sure the new types are added to SOACTRM after REG_ROLL_SORCTRM_CONFIG_M has completed.

Using the Overall University Enrollment report for that day:
Spot check “New” student types to ensure they are coded as “Continuing” in the next term.
Spot check TAs and RAs to ensure they are coded as “Continuing Graduates” in the next term.
Notes
Send a reminder to Rosie Chavez (rchavez@tulane.edu) in GR SSE and Kourtnie Robin (krobin@tulane.edu) in GR Med that this job has been run and that they will need to update their TAs in the next semester (after last run of the term). Mike Pilman (mpilman1@tulane.edu) should also be alerted when this process has been run (after each run).
The output for this job includes a list of students who have not rolled: MISSING_CURRIC.csv. This list will not be correct until the update is run. Do not use the audit MISSING_CURRIC.csv output for error checking.
