Assigning Greek coding to students' records - REG_GREEKROSTER_C_IMPORT

Each fall and spring semester, Fraternity and Sorority Programs will send a file to the Registrar’s Office of students who will need Greek coding in Banner. Attention must be paid to when the coding should be applied, frequently the file is sent for a previous semester.

Prepare Student List

  • Create csv file with the following format:

    • TUID

    • Activity Code

    • Term Code (the term just ending)

  • Include header record

  • Check the input file for errors before uploading into Banner

    • Some common errors are extra digits in TUIDs, extra spaces in the Greek code field, etc.

    • In Excel, use the formula =LEN(cell) to determine TUIDs that are not 9 characters long

    • The Appworx process will fail if there are TUIDs in the import list that do not equal 9 characters

Upload the csv file into Banner

  • Banner form:  GUAUPLP

  • Process name:  Registration - Greek Roster

Parameters

  • Run Mode - required

    • Run in Audit (A) mode to check output

      • Compare output count to file uploaded into GUAUPLP

    • Run in Update (U) mode to update student records

Verify

  • Spot check a few students on the SGASTDN Activities tab to be sure import ran as expected

 

Note

  • Notify Fraternity and Sorority Programs of any erroneous TUIDs and any count discrepancies. They will need to request a report from BIA to locate any students who were not coded by this process due to input errors.
