Verifying eligibility for club sports and programs
When managing eligibility for club sports and recreational programs, universities often receive requests to verify whether a particular group of students qualifies to participate. These verifications generally focus on two primary factors: academic performance (such as meeting a specific GPA threshold) and enrollment status (whether students are full-time or part-time). Below is an outline of the process for verifying student eligibility for participation in these programs.
Academic eligibility (GPA verification)
One of the most common eligibility requirements for club sports or programs is a minimum GPA threshold. To verify whether a student meets this requirement, you can follow these steps:
Step 1: Access the student's Degree Works degree audit.
Step 2: Review the GPA information provided in the audit to determine if the student meets the minimum GPA requirement for the specific program or sport.
Step 3: Record the student's eligibility status based on the GPA check.
In cases where the student does not meet the GPA threshold, make sure to clearly note that the student is ineligible.
Enrollment status (full-time or part-time)
Another common eligibility requirement involves a student's enrollment status, which can vary depending on the specific program. For some club sports or programs, students must be enrolled in a specific number of credit hours (full-time or part-time) for a given term to be eligible.
To verify enrollment status:
Step 1: Access the student's enrollment data through the SFAREGS screen in the student information system.
Step 2: Check the total credit hours the student is enrolled in for the current term to determine if they meet the minimum required hours for eligibility (full-time or part-time).
Step 3: Record the student's eligibility status based on their enrollment.
If the student does not meet the required credit hours, they will not be eligible to participate in the program for that term.
Additional verification requirements
Some programs or clubs may also request official documentation of eligibility or additional verifications, such as a signature or a stamp.
Signature: If a signature is sufficient for verification, simply sign off on the eligibility form and indicate which students are eligible and which are not.
Seal or Stamp: If the program requires an official stamp, use the seal embossing machine in the office to provide the official stamp on the verification document.
Communication of eligibility status
Once eligibility has been verified, communicate the status to the relevant stakeholders. Ensure that all eligibility decisions are documented accurately and clearly, particularly if there are students who do not meet the required thresholds.
