Releasing deceased student records

Submitting a request for deceased student records

The living next of kin must submit a written request for records. The request should include the type(s) of records sought, copy of the birth certificate of the person making the request, and a copy of the decedent’s death certificate.

If there is no living next of kin, the executor of the estate can make the request with the same documentation requirements.

Clarifying questions:

  • What are the types of records we can release (enrollment verification, transcripts, etc.)?

  • Can the request be made electronically

  • Should we create a form for this - even just a PDF - to standardize requests?

Review the documentation

When received, send all documentation to Colette for review. Colette will provide approval to release records.

Prepare and deliver records

Review the request and any notes from Colette. Prepare requested documents and deliver them as indicated by the requestor.
