Entering coursework in SHATRNS
Select departments have permission to enter coursework in SHATRNS. All others should follow the full transfer articulation guidelines.
SHATRNS Key Block
Enter the student’s ID number.
Enter Transfer Institution Number 1 if creating a new record. If the student has prior transfer credit earned select the next sequential number from the look up button list.
Enter Attendance Period Number “1”, unless student already has transfer credit from the same institution, in which case, should be a new attendance period for the same institution. Go.
Identify the transfer institution.
Enter the Institution code and Save and Next Block.
Enter course details.

Transfer Attendance Period block
Enter the Attendance Period (“Term Year”). Tab.
The Acceptance Date will auto-fill as today’s date.
Choose the Effective Term. This is the term you want to transfer the credit, and the student should be enrolled at TU for the Effective Term.
Choose the level.
Enter the begin and end date of attendance at the transfer institution. Save and Next Block.
Transfer Course Detail block
Enter course information from the transfer Institution. Save and Next Block.
Equivalent Course Detail block
Make sure the Count in GPA box is checked.
Enter the Subject and Course. Hours will auto-fill.
Enter the grade as TRF and the grade mode as “0”. Save and Next block.
Course attributes
Enter the Course Attribute RTRF. This is required in order for the course to display in the degree audit. Save.

ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
