Relocating academic classes
Office of the Registrar receives room relocation requests for academic classes via email, service now tickets and phone calls from professors. Unless it is an emergency, please encourage faculty to use the service now form over calling or emailing to submit these requests.
HOW TO RELOCATE A CLASS USING EMS:
Option 1: Search for available rooms
Open the academic book and find the course in its current classroom. by selecting the class in its current room assignment
Click ‘tools’ >’Wizard’ >‘Change room’>’search for rooms’>select the booking>’select all’ & fill in the “building” view (can either pick a particular building to search through or can select a particular view)
Select an option from the available room results list (be sure to pay attention to the number of days available, want to select a room that is available for all course meeting dates)> click “>” then click finish.
Option 2: Room Swap
If you need to two courses to swap rooms, this is the easiest way. Please note, this only works if the two courses have the exact same meeting pattern.
Open the reservation book in EMS.
Select the appropriate building or view
Choose the “daily” view and pick a date when the course meets
Right click on one of your two courses, select “swap rooms with another course” from the menu of options. Once you click this, you will notice your class changes from blue to grey. Click on your second course.
A confirmation pop up will appear, click yes.
Option 3: Search for Rooms by time
You can also search for available rooms based on time, as opposed to starting directly from a class. This can be useful if a class wants to change its meeting pattern.
Academic Planning > Courses > Search for Rooms
Fill in campus, term, start time, end time, days of the week, building and enrollment. Click “next”.
ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
