Cancelling a section - Registrar

 

In order for the Office of the Registrar to process a request to cancel a section, a few things need to be verified first. Number 1, make sure no students are currently enrolled in the section by checking SSASECT. If no students are enrolled, the section can be cancelled directly in SSASECT using these instructions: 

  1. Set Enrollment cap and Waitlist max to Zero 

  2. Delete the instructor (hit save) 

  3. Delete the meeting pattern and classroom assignment (hit save) 

  4. Change the status from ‘A’ to ‘X’ (Active to cancelled) 

  5. Uncheck the ‘Voice response and self-service available’ box (hit save) 

If students are registered, then the department or instructor MUST email the currently enrolled students first to notify them of the cancellation, and provide our office with a copy of the email notice to the students before we can cancel the section. We receive the email notices either as attachments to service now incidents, or by being BCC’d on emails. 

Once we have received the email notice to the students, follow these steps: 

  1. Set Enrollment cap and Waitlist max to Zero in SSASECT 

  2. SFAMREG the students who are currently enrolled to drop them from the course (no students should be enrolled when you cancel the section) 

  3. Delete the instructor in SSASECT (hit save) 

  4. Delete the meeting pattern and classroom assignment in SSASECT (hit save) 

  5. Change the status from ‘A’ to ‘X’ in SSASECT (Active to cancelled) 

  6. Uncheck the ‘Voice response and self-service available’ box in SSASECT (hit save)
