Creating a term in EMS

 

ONLY TO BE COMPLETED AFTER THE TERM HAS BEEN ROLLED (SSROLL) TO BANNER. This process is typically done after the call for classes (Ex. In July for upcoming Spring and Summer terms, November for upcoming Fall term).

These steps are all completed in the EMS Desktop Client.

  1. Create new term: Academic Planning > Configuration > Synchronize Terms > Select Term to be created > Create > Process.

  2. Add “special dates” (Holidays, important dates) to the newly created term: Configuration > Other > Special Dates. Click “new”, enter in date and description, click “ok”.

    1. Special dates will show in EMS website. Dates can be Special but not Excluded (see next step) but all Excluded dates must first be Special.

    2. Create special dates based on NTC academic calendar and Law School academic calendar (you will see some dates vary between the two, such as spring break).

  3. Designate Holidays and final exam period as “excluded dates”: Go to Manage Terms > select term > Edit > Excluded Dates. Click on every day when classes should not take place (all academic holiday and final exam dates). Clicking on a date will move that date into the date list (screenshot below). Click Ok.

    1. These dates will now be excluded from Academic Class meetings after you sync term.

    2. This needs to be done for the term on the Uptown Campus, Law School Campus and Public Health Campus. These are split into separate campuses in order to accommodate different excluded dates.

  4. Sync term: Manage Terms > Highlight newly created term > Click “sync” > click “ok” on synchronize courses pop up

  5. Set Up Auto Sync Settings (for Law and Public Health Campuses only): Manage Terms > Select campus > select term > Click edit > Click Auto Sync Settings tab > check all 3 boxes (automatically sync courses, automatically process course updates, auto sync only once per day). Select time for auto sync (ex. 8am). Select last date for auto sync (typically, last day of the term).
