Adding a new subject to EMS
When a new course code/subject has been created in Banner, a few extra manual steps are required in the EMS desktop client:
Synchronize new subjects from Banner:
Academic Planning > Configuration > Synchronize Subjects
In the “status” drop down list, select “new”. This will show any new subjects that haven’t yet been synchronized from Banner
Highlight the new subject, click “create”
Change “status” to “create”. You should see your new subject listed. Highlight subject again and click “process.”
Add new subject to appropriate campus
Academic Planning > Configuration > Campuses
Select the campus you want, then click “edit”
Click on subjects tab
Move your new subject from “Available” list to “Selected” list (using the single right arrow “>”)
click “ok”
Create Group (only if this subject is a new department)
Reservations > Reservations > Groups
Click “new”
Fill out the “name” field using this format: Department name (department code). Ex. Anthropology (ANTH)
select “academic unit” for group type
Leave “available to everyday users” box checked
click “ok”
Create new Academic Unit or assign new subject to existed Academic Unit (term “academic unit” is interchangeable with term “department” in Banner)
If new subject is also a new department, create a brand new academic unit
Academic Planning > Configuration > Academic Units
click “new”. Enter Academic Unit (department) code, Academic Unit title, campus, event type (“academic class”) and select the group you previously created (or already existing group if this is not a new department).
Click “subjects” tab. Move your new subject from “Available” list to “Selected” list (using the single right arrow “>”).
Click “ok”
If new subject is under an already existing department, locate the department from the list of academic units, click “edit.”
Click “subjects” tab. Move your new subject from “Available” list to “Selected” list (using the single right arrow “>”).
Click “ok”
ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
