Role types get mapped to academic department, Level, department, major codes using a context path
Role codes - a table that shows what each role has access to. Where is this list? Who maintains it?
How do you ensure compliance with departments providing information on role changes?
Some people have multiple rows.
Meta-mapping - SYAADVM
Map meta type to meta value. and what role comes into SGAADVR.
4 potential advisors per major
Process runs every night to remove previous major advisors and add new major advisors.
Some advisors can stay the same, only the ones set up in SYAADVM can get switched out.
Yale is looking to use this to control CourseLeaf roles (CLSS, CIM/CAT).
Started in 2020 but continuously refined.
Advisor sync first version was UG only, and a year later for GR and CER. More than a year of work.
Can identify which role should be the primary.
Dept name changes - submit to ITS and they would create a new context path and end date it so you can’t add it past the end date.
Registrar’s Office can make changes here without IT involvement.
Does end date comes from HR?
Separate process for feed that tells us who has changed jobs. Once a week on Mondays.
Role codes - a table that shows what each role has access to. Where is this list? Who maintains it?
Created by RO and IT references it.
They get a report that lets them know of changes to who has what role.
How do you ensure compliance with departments providing information on role changes?
Comes from graduate school/Yale school
What if someone is staff and and a student?
doesn’t come up much but may be linked to primary assignment.
When people are changed, are open workflow items moved to the new person or does it stay with the original person?
Would need to re-route any forms from original person to new person. (Don’t have many forms)
Is there a distinction in role for proxies/designees?
Yes, they would have the ROLE_AA role. So CHAIR vs CHAIR_AA.
Do they assign to specific advisors? What does that look like?
Students have at least 3 advisors if they are in a major.
How many context paths exist?
94
