Transition outstanding curricula maintenance from active to oversight

Current status - backlogged until capacity is available. 7/15/24

Problem statement

Accuracy of the student curriculum record affects registration, billing, and degree audit. The three most common record variables affecting accuracy are Student Type, Class, and Priority 10 program. These three variables can come out of alignment due to various factors, and the one we’re addressing in this project is outstanding curricula.

Colette and I have discussed reducing my active data entry/management responsibilities to replace them with oversight responsibilities. We propose that these changes will develop me further as a leader in addition to freeing up needed time to more actively engage in equally important initiatives related to business process development, management, and consultation.

Current process

Usually half way through the addenda period (one week after degree conferral), Stephanie Davis provides me with the outstanding curricula list. The list varies in length from term to term, but spring has the longest list, with as many as 300 records requiring review. I review and make changes as needed to each record.

Proposed process

  1. One week prior to degree conferral, I will remind the leadership team that outstanding curricula will be coming.

  2. One week post-degree conferral, Stephanie Davis will send me the outstanding curricula list.

  3. I will mobilize the pre-identified team and assign records.

  4. I will host a few live training and working sessions to demonstrate, support, and troubleshoot. The number of sessions may vary.

Colette indicated that perhaps Steph D and/or Michelle has the appropriate skillset, but no decisions have been made.
