Resolving outstanding curricula
Two main sources
Outstanding curricula occurs when a student has been awarded a TU degree and intends to start a subsequent program in the next term: spring grads starting in the summer and/or fall, a summer grad starting in the fall, or a fall grad starting in the spring. In this context, when the student has a confirmed admission status, the learner record is created with the new program as priority 20 with the recently-completed program remaining as priority 10.
Outstanding curricula also occurs when a student pursues two programs and completes one while continuing the other in the next term.
Identifying students with outstanding curricula
Students with outstanding curricula are identified from the output of the REG_OUTSTANDING_CURR_C job. This job runs in the week after graduation, and all records should be cleaned up within two weeks after graduation. Learn more about this job >
Cleaning up the records
The goal of cleaning up these records to to make sure that completed program(s) are removed from the learner record for the upcoming term and curricula priorities are correct.
Identify all possible curricula
Review SAAADMS and note all confirmed (admitted w/merit funding, confirmed, deposited) programs.
For spring grads, be sure to check for both summer and fall admissions.
Identify completed programs
Confirm the student has been awarded a degree in SHADGMQ. Note the program(s)/degree(s) completed.
Remove completed programs
Review all current/active programs.
Update the learner record in SFAREGS Curricula tab to reflect the correct curricula for the upcoming term.
If the priority 10 program should be removed, scroll to the priority 20 program. Update and overwrite the priority 20 with 10. Save.
The original priority 10 will automatically be inactivated.
If the highest number priority should be removed (whether it be 20, 30, 40, etc.), Duplicate it and Inactivate. Save.
If a priority in between 10 and the highest number priority should be removed, Duplicate and Inactivate that program. Change the priority numbers of the remaining higher priorities.
If you have a 10, 20, and 30 and you need to remove the 20, scroll to the priority 30 program. Update and overwrite the 30 with 20. Save.
You can promote a higher priority number to a lower priority number by Updating and overwriting the higher number with a lower number.
To add a lower number priority program (if you only have a 20, for example - which you want to avoid), use Insert and enter the program and field of study.
Review to make sure the only current/active programs that remain are correct. Update priorities as needed so that there are no gaps in priority. For example, you should not have a priority 10 and a priority 30 - change the 30 to 20.
Review Student Type and Class
Check the student’s class and type in the Student Term tab to make sure it’s correct and make any needed changes.
Cleanup tips
If there’s no application for a program you see on the student’s curricula, that’s ok. Just make sure any completed programs (per SHADGMQ) are removed.
