Using the Major/Minor Certification tool to certify degree completion (faculty)
The Major/Minor Certification tool is only used for undergraduate students. If you need any help with certification, please contact the Office of the Registrar.
(Recording of degree certification for graduate students is done by Academic Graduate Directors within the schools.)
You can now view students' advising/unofficial transcripts and degree audits from this tool.
Access the Major/Minor Certification tool in the Gibson. Faculty will find it in the Faculty tab, while Staff will find it in the Staff tab.
Identifying your students
Use the Degree Term drop down menu to select the certification term.
To show all of your students:
Leave the “Any” option (default) as the selection for the Requirements Met menu.
Depending on the population you are reviewing, use the Certification Status to select.
Select the majors and/or minors that you certify. You can also filter by Major College.
You must be setup as a certifier in the tool, and you only have access to the majors/minors you certify.
If you don’t see any students in your list, contact the Office of the Registrar.
Once you’ve made your selections, click Search.
All students who have applied for the graduation term selected (2023 Spring) and has a Sociology major or minor will display.
Minors display after the list of majors.
The school and degree that display reflect the student’s primary program/major. Keep in mind that students can have multiple majors across multiple schools. Don’t be alarmed if your major doesn’t correspond to the school and degree shown.
Select the certification option
You can select from Certified, Denied Certification, and Conditionally Certified.
The Major GPA Req Met and Course Req Met indicators are optional to help you track requirements.
Certified
If all major/minor requirements have been met, select Certified.
Conditionally Certified
If the student is completing major requirements in the graduation term, select Conditionally Certified. If you select this option, you must select an option from the Comments menu.
If you select “Other”, you must use the pop-out field to specify the other requirements.
Denied Certification
If a student is Denied Certification, you must indicate the reason in the Comments field.
Saving the record
When you save the record, the information is pushed to NTC Advising.
Once marked as Certified, the record is frozen, and any changes must be made by the Registrar’s Office.
As you work your list, you may want to save periodically to prevent loss of work due to application time-out.
Exporting the list
After saving, you can export the list to an Excel file by clicking the Export button.
What happens next?
Your certification selections and/or comments will be pushed to the Commencement application, which is used by NTC Advising.
The NTC Advisor will see your certification selections and can use the Details link to view the major/minor certification information.
