Newcomb-Tulane College (NTC) students apply for graduation online, on the Gibson Portal. Students not currently enrolled submit a paper/PDF application.

Undergraduate full time students can apply for graduation online, only after the Academic Advisor has end dated the “Application for Degree “ hold in the Banner page SOAHOLD.

The student’s curriculum, program and field of study, in Banner, will be the same as the curriculum on the online application for degree.

The online application for degree hold will post in the Banner page SOAHOLD, for the following groups of students:

  • New NTC students (first time freshman and transfer), upon acceptance of offer of admissions.

  • Interdivisional transfers from School of Professional Advancement to NTC, once curriculum is updated.

  • When a previously inactive Newcomb-Tulane student is re-activated, the hold will also be posted automatically.

SHAGAPP

Graduation Application

A SHAGAPP record is created automatically when the student submits the online application for degree or is created in the registrar’s office when the student submits a PDF application.

Changes to curricula after SHAGAPP (Graduation Application Record) has been created

Ask the Registrar’s Office Commencement Coordinator to remove the SHAGAPP record.

In SFAREGS, update the student’s program.

The student must reapply for the degree online or submit a new PDF application.

If the Advisor is creating a new undergraduate secondary program, including a certificate, a new online Application For Degree for the new secondary degree will be required.

Commencement degree certification application

The Commencement degree certification application is used to create the Reading/Marching list, the Times –Picayune newspaper list and to produce the certified list.

Edit Lists

Contains the following:

Certified List‐ Students with SHAGAPP records for the graduation term

Reading /Marching & Times Picayune Lists‐All participants in spring commencement (Used by Publications and School Commencement Coordinators).

  • Students with SHAGAPP records for spring graduation term.

  • Students with SHAGAPP records for the summer term prior to graduation. Registrar’s Office codes. WF‐Walking in Future SP Term status

  • Students with SHAGAPP records for fall term prior to graduation. Registrar’s office codes. WF‐Walking in Future SP Term status

  • Students with SHAGAPP records for graduation in future summer term. Registrar’s Office codes. WP‐Walk in Prior SP Term status.

To access the Certified list, click on Edit List (1) and then on Certified List (2).

Enter criteria for selection: Ceremony Term, and any other; Advisor, Level, Degree, School.

List of students

List of students degree applicants name and ID will display with, status of (1) Preliminary Review(s), (2) Graduation Status, (3) Dual Degree, (4) Attending Ceremony flag, (5) College, (6) Degree, (7) Advisor, (8) Holds, (9) Major/Minors Certified status.

Detail window will display School, Degree, Major(s), Minor(s), and Latin Honor.

Preliminary Review, Partner Review and Final Review flags are entered in the Details window. Follow current Academic Advising Center procedures for conducting and flagging reviews.

Data from the major-minor online certification tool will display indicating the certification status of the major (1) and minor (2) . Status of “Conditionally Certified” (with Comments if any), “Certified”, “Not Certified”.

If the information in the Degree Certification Application is different than what the student anticipates earning, the application for graduation has to be removed by the Registrar’s Office. The curriculum information is updated by the Advisors (NTC) in SFAREGS.

Certifying in SZADEGR

Degree and other Formal Awards

When the final exam period begins, the Registrar Office will create SHADEGR/SZADEGR records from SHAGAPP the graduation application page.

Advisors will certify applicants on SZADEGR, which will automatically populate SHADEGR.

Entering Honors

Dual degree students

Dual Degree students will submit two separate online Application for Degree, one for each degree. Two separate SHAGAPP records, Graduation Applications, with sequence 1 and 2 will be created. Advisors can search the Degree Certification Application for Dual Degree Students.

Interpreting the Commencement tool information

The value in the Graduation Status column pulls from the Graduation Status field in SHAGAPP.

To appear on this list, the student must have an active SHAGAPP record for the term of graduation and a corresponding outcome record. The Registrar’s Office creates outcome records for graduation applicants on the first day of final exams in the spring and fall terms.

If the status is “CG” (Certified for Graduation), the student has been certified in SZADEGR.

Once all applicants for graduation in your school have been reviewed and either CG-Certified for Graduation or NG-Not Certified for Graduation, the designated person in your department will print the unofficial certified list and provide it to the Registrar’s Office via a certification appointment.

To print the unofficial certified list, select the Ceremony Term, the School and the Degrees. Click on generate PDF.
