Submitting degree audit petitions

While the degree audit lists CIM/catalog requirements for students based on their programs of study, exceptions, substitutions, or waivers may be applied to students’ audits on a case-by-case basis by major and academic advisors only. If you are an advisor and you do not have access to the Petitions feature, but feel you should have access, please contact the Registrar’s Office.

Note: The Office of the University Registrar staff will consult with the Dean’s office of your school to confirm your eligibility for access to the Petitions feature before granting access.


Access the Petitions tab in Degree Works

To submit a petition, first navigate to the student’s degree audit.  Click on the three dots above the upper right corner of the header:

Select Petitions:

A dialog box will open listing petitions currently added to the student’s audit, if there are any, as well as their current statuses. For more information on interpreting the status of a petition, see Checking the status of degree audit exceptions.


Submitting a new petition

To submit a new petition, click the “Add a new petition” button.  A freeform text box will open that will allow you to describe what needs to happen within the student’s audit:


Common Types of Petitions

When entering a petition, please use the following syntax. DO NOT COPY AND PASTE EMAILS OR EMAIL THREADS DIRECTLY INTO THE PETITION. The Registrar’s Office will not be responsible for translating or interpreting email requests.

Each petition should include 3-4 pieces of information: Graduating (only if the student is graduating in the current semester), exception type, block and requirement, and the approver.

  • Indicate if the student is planning to graduate in the current semester by starting the petition with the word “GRADUATING.”

  • Note the exception type:

    • WAIVE” or “WAIVER

      • This indicates that the exception will waive a full requirement, or the remainder of a requirement. This does not change the number of credits required for a major or minor.

    • APPLY

      • Enter the subject, course number, section, and semester (if needed) of the course to applied to a requirement.

    • CHANGE COURSE/CREDIT LIMIT

      • Some curricula or schools require a minimum or maximum number of courses/credits with a certain quality (e.g., a minimum of two courses with the NSCI prefix; a minimum of 4 electives above the 3000-level; a maximum of 3 courses outside the department; a maximum of 18 credits outside NTC). Change course/credit limit overrides that minimum or maximum.

    • SUBSTITUTION

      • Typically used for study abroad equivalencies. This exception allows a course that has been taken (Course A) to be the equivalent of another course (Course B). Course A will be considered by the audit in any requirement that Course B would normally be. For these types of exceptions, please include the section and term of the course taken.

    • OTHER

      • When in doubt, use other and succinctly describe what must be done.

  • Indicate the block and requirement (number and/or name) that is being modified.

  • Note who has approved the exception and when it was approved.


Examples

Below are examples of three acceptable petitions for the Dance Major block:

Example 1: Waive Req. 1 – Performance I

Example 2: Apply a course to Req. 3 – Dance Pedagogy

Example 3: Modify the number of credits needed in Req. 11 and indicate that the student is planning to graduate this semester.
