The method used for degree conferral differs by certifier and level.

The Major/Minor Certification tool is used by schools to verify that undergraduate major/minor requirements have been met. Major/minor certifiers are faculty.

Using the Major/Minor Certification tool to certify degree completion (faculty)

The Commencement tool is used by NTC to record preliminary, final, and partner degree certification checks of the NTC Core Curriculum and review major/minor certification

Certifying students for graduation (SoPA)

Certification in SZADEGR is used by graduate directors or other school administrative staff to certify graduate students for graduation. NTC also uses SZADEGR to certify graduates once they have verified all undergraduate degree requirements have been met as well as indicating honors.

The following guidance is for non-NTC and non-SoPA programs. Please see the respective guides linked above for NTC and SoPA guidance.

Students apply for graduation online via Gibson. Students not currently enrolled should submit a paper/PDF application.

The student’s curriculum, program and field of study in Banner must be the same as the curriculum on the online application for degree.

SHAGAPP

A SHAGAPP (Graduation Application) record is created automatically when the student submits the online application for degree or is created in the Registrar’s Office when the student submits a PDF application.

Changes to Curricula after SHAGAPP (Graduation Application Record) has been created

Ask the Registrar’s Office Commencement Coordinator to remove the SHAGAPP record.

In SFAREGS, update the student’s program.

The student must reapply for the degree online or submit a new PDF application.

If the Advisor is creating a new undergraduate secondary program, including a certificate, a new online application for degree for the new secondary degree will be required.

Commencement/degree certification application

The Commencement degree certification application is used to create the Reading/Marching list, the Times –Picayune newspaper list and to produce the certified list.

Use The Commencement degree certification application to record preliminary, final, and partner degree certifications checks.

Edit Lists

 Reading /Marching & Times Picayune lists

All participants in spring commencement (Used by Publications and School Commencement Coordinators).

  • Students with SHAGAPP records for spring graduation term.

  • Students with SHAGAPP records for the summer term prior to graduation. Registrar’s Office codes. WF‐Walking in Future SP Term status

  • Students with SHAGAPP records for fall term prior tograduation. Registrar’s office codes. WF‐Walking in Future SP Term status

  • Students with SHAGAPP records for graduation in future summer term. Registrar’s Office codes. WP‐Walk in Prior SP Term status.

Certified lists identify students with SHAGAPP records for the graduation term.

Click on Edit List and select Certified List. Enter criteria for selection: Ceremony Term, and any other; Advisor, Degree, School.

The list of degree applicants name and ID displays

  • status of Preliminary Review(s)

  • Dual Degree

  • Attending Ceremony

  • College

  • Degree

  • Advisor

  • Holds

  • Major/Minors Certified Status

Click on details for a specific student, and a new window will open, which displays, school, degree, major(s), minor(s), and Honors (if applicable).

  • Optionally, Preliminary Review, Partner Review and Final Review flags are entered in the Details window.

Data from the major, minor online certification tool, will display indicating the certification status of the major and minor. Status of “Conditionally Certified” (with Comments if any), “Certified”, “Not Certified”.

If the information in the Degree Certification Application is different than what the student anticipates earning, the application for graduation has to be removed by the Registrar’s Office. The curriculum information is updated by the Advisors in SFAREGS.

Certifying in SZADEGR

SHADEGR/SZADEGR‐Degree and other Formal Awards. When the final exam period begins, the Registrar Office will create SHADEGR/SZADEGR from SHAGAPP the graduation application page.

Advisors will certify applicants on SZADEGR, which will automatically populate SHADEGR

Click the search ellipses for Degree Sequence. It is important that you certify students using the correct degree sequence and that you certify only undergraduate degrees and undergraduate certificate programs.

SHADGMQ, Degree Summary page will open and all degrees applied for will display. See below sequence 1, student has applied for one degree. Identify the correct degree sequence and double click (or click the “select” button) . Click the Go button to go to SZADEGR.

Students with multiple degrees and degree applications will have more than one record. See sample below, student has applied for 3 separate degrees simultaneously: 1=BSBSM_UG, 2=BSCER_UG and 3=BSMAC_GR. Remember certificates are processed as if they were standalone degrees.

Identify the correct degree sequence and double click (or click the “select” button), then click Go to go to SZADEGR.

SZADEGR will display the Degree Sequence; 1= student’s first degree, 2=student’s second degree

SZADEGR will display Learner Outcome Information, Outcome Status of “SO” Sought, and Graduation Status of AG‐ Applied for Graduation

In SZADEGR when the Outcome Status is Sought (SO), Advisors can certify students and access the Honors Tab.

Change graduation status from AG Applied for Graduation to:

  • CG=Certified for graduation -OR-

  • NG=Not certified for graduation

Other Status (besides CG and NG) NOT used byadvisors:

  • WF=Walking FUTURE SPRING TERM‐Student earned degree prior summer or prior fall and will walk in the future‐ spring. (Do Not Code. Registrar’s Office codes in summer term and in fall term.) Normally, used for a student who earned the degree fall or summer beforecommencement ceremony.

  • WP=Walking PAST SPRING TERM‐Student anticipates earning degree summer after commencement and will walk in the past spring. (Do Not Code. Registrar’s Office will code in summer term after commencement.)Normally, used for students who anticipate earning a degree thesummer or fall after commencement.

Entering honors

Once all grades are final, advisors will enter Latin honors. Departmental Honors‐Has Medical School awards only.

Institutional Honors‐ Latin & Departmental Honors, for undergraduate students. Comments‐Other Awards, entered in free form text.

Advisors need to enter code to identify Latin honors. See validation table STVHONR.

Dual Degree students will submit two separate Application for Degree, one for each degree.

Two separate SHAGAPP records, Graduation Applications, with sequence 1 and 2 will be created. Advisors can search the Degree Certification Application for Dual Degree Students.

Detail Window will display “Other Degree Programs.”

Details window displays the primary as well as the secondary degree.

Degree Certification Application > Edit List > Certified List

Notice the “Certified” field in the Application for degree certification, the values are coming from SHAGAPP‐application for degree record.

If the status is “CG” (Certified for Graduation) SHADEGR/SZADEGR has been created from SHAGAPP, and the student has been certified in SZADEGR.

Once all applicants for graduation in your school have been reviewed and either; CG-Certified for Graduation or NG-Not Certified for Graduation, the designated person in your School will print the unofficial certified list and take it to the Registrar’s Office. To print the unofficial certified list, select the Ceremony Term, the School and the degrees. Click on generate PDF. The Official certified list is printed at the Registrar’s Office.
