Activating Gibson access for alumni 1980-2009

Activating Gibson access for alumni during this time period allows them to access their unofficial transcript online. Most will need to have their Gibson password reset, and the reset link is sent to the type 20/personal email address listed in SPAIDEN.

Depending on how long it’s been since the student attended, they may not use or recall the type 20 email address we have on file, so once the student’s identity is verified, we will need to add a new type 20 email address for them.

A large population of students will not have Tulane email addresses.


Verify the requestor’s identity.

Verify the student’s identity using all of the following criteria in SPAIDEN:

  1. Full Name (include consideration of maiden or other possible names)

  2. DOB

  3. Permanent address

  4. Emergency contact

  5. Ask them their favorite course or instructor

  6. Ask if they earned a degree while at Tulane.

    1. Yes - confirm in SHADEGR.

      1. Enter 1 in the Degree Sequence number in Key block. Next block to verify degree award (must be AW in Curricula Summary). Verify degree type and major.

    2. No - verify in SGASTDN

      1. Verify program and field of study under Curricula Summary

      2. Ask for names of professors taken, names of specific courses they took, or other majors they studied if you feel that you need additional verification.

  7. Check their email address in the Email tab. Determine whether their Tulane email address is active or inactive/does not exist.

If the Tulane email is active:

Their username is their Tulane email address up to “@tulane.edu”. The password is the same as the email password.

  1. The password can be reset by calling the Help Desk at 862-8888 or follow the prompts at the Self-Service Password Portal. In order to reset their password, they must have access to their type 20 email account (in SPAIDEN). Ask them their non-Tulane email address on file, and if they can provide it, let them know that the link to reset their password from IT will be sent to that email address.

  2. If they don’t know their type 20 email address, you can enter a new email address once you have verified their identity. (can you overwrite and save, or should a new type 20 be added?)

If the Tulane email account is inactive:

  1. After verifying the student’s identity, add their email address as a type 20 email.

  2. Direct the student to return to Gibson, select the “I forgot my username/password” link. They should enter the email address they gave you (their type 20) and follow the prompts.

If the Tulane email account does not exist:

Prior students without a TU email account will not be able to get into Gibson. Note the individual’s information and open a ticket to request a staff member to email an unofficial transcript to the student due to a missing TU email address.

Suggestion: To send student/alumni their unofficial, make a secure box link where the can download it (where they are invited to the file)
