Assigning registration PINs
Certain populations of students are given special registration PINs that may give them an earlier roll-in time than the students' registration time tickets. PINs can be batch assigned via the Appworx jobs listed below. PINs can be manually updated on SPAAPIN. The order matters!
PIN assignment jobs MUST be done in the order below, as the first PIN applied to a student’s record will be the one Banner gives preference to.
** Beginning in 2024, students will need their spring PINs applied in summer as well. Until the Appworx processes below must be modified, REG_PIN_ASSIGN_BATCH_C may be used to update students' summer PINs. There is a Cognos report that can be used to help discover discrepancies:
TU Groups > Registrar > Registrar Reports > Data Cleanup > Spring and Summer PIN Reconciliation**
Athletes
Assigns the athletic PIN to any students coded as athletes in the current semester
Athletes roll in at the first registration window
Athletics will also send a list of student managers, etc. who will also get the athletic PIN
Use Batch applying registration PINs to students - REG_PIN_ASSIGN_BATCH_C to apply athletic PINs to these additional students
ROTC Students
Beginning in 202530, these students receive the 777 PIN.
Assign the 777 PIN to ROTC students listed in the ROTC Box folder each semester
BSM-MAC Students
Assigns PINs to BSM-MAC dual degree students based on the number of graduate-level credits the students have earned
Allows UG students to roll in with GRs
NOTE: Sometimes students are admitted to the BSM-MAC dual degree after this PIN assign job has been run.
These students will need to be updated manually in SPAAPIN with the 308000 for fall registration or 108000 for spring registration
JR year abroad
Allows students who were abroad, and whose transcripts may not have arrived from their abroad institutions to roll in with the first Juniors (86 earned credits)
Run a REGR-4030 class roster to get list of students studying abroad in the previous fall or spring term.
Assign the 444 PIN to the students generated in the report
OSA Foreign Exchange students
Any student with the BEXC rate code should be given the 222 registration PIN.
Honors Weekend (fall registration only)
There are typically two in-person Top Scholars events (PINs will end in 1 or 2 depending on the event) and one virtual event (PIN will end in 0) for students who do not come in person.
Create separate PINs for the three events in SFARGTC (SFRCTRL).
Admissions will create events in both Slate and Banner. PINs will be automatically assigned as part of the Slate-to-Banner feed processes.
Check to ensure PINs are being assigned correctly.
Spring Scholars (spring registration only)
Get Spring Scholar registration/orientation date from Admissions.
Create a PIN for this date in SFARGTC (SFRCTRL).
Assign the PIN to incoming students – get list from Admissions
This same population of students will also need advising (AD) holds placed on them
Spring Scholars (fall registration only)
In spring, for fall registration, current semester Spring Scholars will still have an N (new FTF) student type. Spring Scholars will not roll to Continuing FTFs until after the end of the spring term. Incoming fall FTFs (Ns) are not given time tickets because they must register via freshmen registration events. So Spring Scholars must be given daily PINs based on their earned credits.
Get TUIDs from Spring Census report.
Run report to determine earned credits (not AP/IB)
Assign PINs to students based on earned credits
Zero-hour Students (spring registration only)
Reserve one full day in November for 0 hour students (fall FTFs)
REG_PIN_ASSIGN_RAND_M - assigns random PINs to students with 0 earned hours
Incoming FTFs
Create a PIN for June 1 for incoming fall FTFs
Admissions will create a “dummy” CAST event in both Slate and Banner. PINs will be automatically assigned as part of the Slate-to-Banner feed processes.
Check to ensure PINs are being assigned correctly.
Also check to ensure incoming FTFs are being given the AD hold as part of the Slate to Banner feed.
Loyola Consortium students
Loyola students will be allowed to register themselves on the first Monday after all other students (except Law) have rolled in.
Once that date has been set, create a PIN in SFARGTC for 8:00 am on that date.
RSS will assign that PIN to students manually in SPAAPIN as the students are admitted into the upcoming semester.
Other student populations that receive PINs
The Goldman Center will send a list of students who should be given the date PIN that will allow them to register at 8:00am on the first day of priority registration.
