Loading IDs from a .csv for bulk processing (GJAJFLU/GJAPCTL/GJRPSIM/GLAEXTR)
Prepare your file
Your .csv file should contain only a single column of TU ID numbers with a column header.
Name your file with the name of the bulk process you will be using. For example, SGPADVA, SGAMSTU, SFAMREG, etc.
If you need to do the process with different lists, it’s a good idea to add an identifier to differentiate them from one another.
For example, if you’re using SFAMREG to register student for different CRNs, you might use, SFAMREG_24679 (SFAMREG_CRN).
Ensure that the file type is .csv.
GJAJFLU: Upload your file
In the Job field, enter GJRPSIM. Go.
Click the Insert button.
Click the Select File button and choose your file from where you’ve saved it.
In the Delete After days field, enter 0.
Save.
Upon saving, you will see the following notifications. This is normal. Click the bell in the upper right corner and move on to the next step.
Create a Selection ID Every Time You Have a New List
If you’ve already created a selection ID for the bulk process you’re running, you can use it. If you can’t remember your Selection ID, you can create one or search for the one you previously created.
To create a new Selection ID:
Go to GLRSLCT. Enter STUDENT for the application.
In the Selection ID field, type in your preferred Selection ID. Go.
Our convention is to use the name the of the bulk process you’re using for this population selection and your initials or username. For example, “SGAMSTUBBEP041424” - process, code, date
”SFAMREG65432041724” - process, CRN, date
OR if using the same .csv ID list for both processes, use a naming convention based on the school and and code or course that makes sense.
Enter a description and check Manual. Our convention is to use the bulk process you’re using as the Description, and it’s suggested that you just repeat the Selection ID in this field.
Save.
To search for a previously-created Selection ID:
In GLRSLCT, enter STUDENT in the Application field.
Click the lookup button on the Selection ID field to search.
GJAPCTL: Run the GJRPSIM process
In the Process field, enter GJRPSIM and leave parementer set blank. Click Go.
Next block to Parameter Values. Enter the following parameters:
01 Application ID - STUDENT in all caps
02 Selection ID - The Selection ID you’re using (e.g., SGAMSTU_DKIDD)
03 Creator ID - Your username in all caps (e.g., DKIDD)
04 - System Indicator - M
05 - Import Type - I
06 - File Path or File Name - your file name (include the .csv at the end of the file name and lower its lowercase (the csv, not the name of the file)
07 - Purge all records - N
08 - N
09 - N
Next block to Submission (don’t click any boxes here).
Save.
GLAEXTR: Review your list (optional)
In the key block confirm or enter the Application (STUDENT) and Selection ID. Go.
The Selection ID is the bulk process you’re using. For example, SGPADVA, SGAMSTU, SFAMREG, etc.
Enter your username as DKIDD.
You will see the list of students pulled in from your .csv file.
If you see the following warning, click OK.
Complete your bulk process
Navigate to your intended bulk processing screen. Set up the changes you want to make.
Appendix
To create a new Application if needed.
Go to GLRAPPL. Type in the preferred application code.
Next block. Enter a description. System is S. Save.
ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
