SOATEST and SHATCMT are used to reflect completion of graduate milestones in the degree audit. Note that SHATCMT is also used to add text (like dissertation titles) to transcripts. (See also: Entering text in Banner to print on the transcript (SHATCMT))

Current state

This is an emerging procedure, with opportunities for development. We are currently using both SHATCMT and SOATEST to mark graduate milestones as complete in the audit. Most programs are using the Academic Events tab in SHATCMT (STVEVEN).

We are trending toward a preference for using SOATEST. Our preference for SOATEST is influenced by the structure provided in SOATEST for data entry. Because the degree audit uses SQL to update the audit to reflect completion, the values must be precise. (The custom SQL for SHATCMT and SOATEST are different.) So, limiting the free-form capabilities offered in SHATCMT creates more sustainable operations.

  • The Med School is using SOATEST to indicate successful completion of STEP exams

  • SPHTM is using SOATEST to conditionally waive a course in the MPH program. Students who complete a Bachelors in Public Health from TU, they are waived from the MPH’s SPHL 6020 requirement. SPHL 6020 is a pre-requisite for many courses in the MPH program, and this utilization of a SOATEST value eliminates the need for pre-requisite override for advanced coursework.

Entering graduate milestones in SHATCMT

  • Enter the ID and Level. Go.

  • In the Academic Events tab, use Insert to create a new record if needed.

  • If you know the Event value, enter it, or you can search by clicking the look up button, which reveals STVEVEN.

  • Select your value by double-clicking or click once and then click OK.

  • In the Originator field, select or type REGR. Use the lookup button to see all values.

  • In the decision field, type PASSED.

  • Enter the date of the event in the Effective Date field. Save.

Entering graduate milestones in SOATEST

  • Enter the ID number. Go.

  • Use Insert to create a new record if needed.

  • In the Test Code field, enter the test code. If needed, click the lookup button to see all available values.

  • In the Test Score field, enter PASS.

  • In the Test Date field, enter the date the event took place. Save.

Future opportunities

We can optimize this process by using some or total automation. Using a form initiated by the student or advisor to capture the milestone type, date, and dissertation title (as appropriate), the form would be routed to validators for approval and the final step would be to mark the requirement as complete in the audit (SOATEST) and enter the dissertation on the transcript (SHATCMT).

What’s the logic to consider when deciding whether to use SOATEST or Advanced Standing credit to mark a requirement complete in the audit?

We currently post credit for Social Work students with advanced standing status. The rationale for this is we don’t have a bachelors of social work, so we’re entering AS credit for those who have one from another institution. SOATEST is for requirements completed while in matriculation at TU only. Note that we also use pointer changes to apply coursework to different or multiple levels.
