Peg normally did this ONLY TO BE COMPLETED AFTER THE TERM HAS BEEN ROLLED (SSROLL) TO BANNER. This process is typically done about two weeks into the term of the published term!! (Ex: Publish Fall term in Sept.)

In EMS > Academic Planning > Configuration > Synchronize Terms > Select Term (will appear after you roll) > Create > Process. Then refresh everything.

  1. Go to Manager Terms > select term > Edit > Excluded Dates. Make sure ALL academic holidays (green underlined dates) are clicked on/selected (which moves them to the block in the middle (see screenshot below). These dates will now be excluded from Academic Class meetings after you sync term.

    9. Options > Number of Records to Return = Unlimited

    1. Level: Course

    2. Field: Course (double click) - can also save Course: Course as a Favorites field

    3. Filter – Course

    4. Like: % 7%

    5. Like: % 8%

    6. Like % 9%

    7. Like % 1% (for Course: Section, online courses; then sort Data results by Meeting Pattern (Day or Time column) so as to get ACTUAL online courses with NO meeting pattern) DON’T NEED: in uptown

    8. Save Value: check (OR NOT: might have to Set Course Preferences for these filters individually)

    9. These Likes will be added to the Filter Summary

  5. Get Data

    1. Like % 7%

      1. Highlight all SOWK 7000-level courses

      2. Tools  > Set Course Preferences *

      3. Preferences tab > Room Settings > Room Not Required > OK

    2. Like % 8% (will bring up sections, not course levels; we don’t have 8000-level courses)

      1. Repeat

    3. Like % 9%

      1. Repeat

    4. Like DRLS

      1. Highlight all courses.

      2. Repeat.

  6. Go back to Basic > make sure term is still correct > Get Data > Select ALL courses > Tools > Set Course Preferences > Publish room in Banner. (EMS may take a few minutes to process.)

  7. Preferences have been set successfully > OK!

  8. Sync term again(EMS processes.) Courses Synchronized > OK!

  9. Academic Browser > Basic > Course Dates > Get Data > sort by course type

  10. Manage terms > select term > Edit > Dual mode >

  11. Academic Browser > Set all MATH 1000-3000 courses (see Schedule of Classes to determine exactly which share rooms) > Select 2+ MATH courses that share space > Tools > Shares Space. MATH is the only subject you do this for.

  12. Manage Terms > select term > Publish (scenario: Banner) > Publish > You are about to Publish, are you sure you want to continue? YES. (EMS processes.) Term Published Successfully: OK! (Publish button should now be grayed out in Manage Terms.

  13. NOTE: Screenshot is from TEST and may be different in PROD:

  14. First check the TBD building to be sure there are no courses in it.

    1. If there are:

      1. and a class in there should NOT need a room (ex: another campus), you must unpublish, set the Course Preferences for that course(s), and re-publish

      2. and a class in there DOES need a room (even a non-general pool room): first go to Banner > SSASECT > See if a room number is listed > Do a wizard and assign that class (all meetings) to that room > Save, Refresh.
        (If in SSASECT you see a building (ex: RM) but NOT a room number, contact the department and get a room #.)

      3. You MUST clear all courses out of building TBD before moving on to Step 16.

  15. Then run a Course Conflict Report (or FIRST just go to Academic Book and click alphabetically down every room (even non-General Pool rooms) and look for red bookings.

  16. If you have conflicts, go to Academic Room Book and cross-list the conflicting (red) course (change its status from Academic Conflict to Academic Cross-Listed/Shared).

  • Must publish before opening up VEMS to requests. (So you CAN publish up to 2 weeks AFTER the start of a term. Peg usually publishes when 99% of courses are uploaded into Banner.)

  • If Course Preferences is grayed out: Manage Terms > select term > Edit > Term tab > Mode (very bottom): Dual > OK
