Managing active students who should be inactive | email template: list id, incorrectly activated term, and name The four students listed above did not enroll for fall 2020. The status of the four students was inactive. However, you updated the status to AS=Active. You indicated you had done this so that they could have access to Canvas (perhaps also to TU email). However, this is against TU policy, as active students counts are counted for other things, such as, for purchasing licenses, for enrollment counts , etc.
I understand they have now registered for spring 2021, but they need to be inactive for 202030. Please update the four student for 202030 to IS=Inactive. To do this, for 202030 go to the Banner page SFSAREGS, Student Term Tab, update the student status to IS and save. |

Joanie Vicknair (OISS) - handles course creation and registraiton for CIEE students REGR 4030-01 - our students register for this in their SA term(s). You have to apply and be accepted into SA programs. Joanie does the registration. She handles all non-business. BS has their own abroad office and they register students for REGR 4030-26. J working with Mary Hicks to figure it out. when they arrive at the abroad destination, they register for their real courses - Joanie knows how this works 5380 and 5390 credits Joanie receives transcripts - creates course - we don't put it in SFAREGS, only in SHATCKN - she grades them - these courses get a special grade mode of "V" - students get the earned credit, grades posted to transcript, but do not affect GPA.

Below I’ve pasted the information that I had listed in the green sticky note on my screen. I’ve also attached the instructions that Ryan gave me awhile ago (with screens I use regularly highlighted in yellow). Please note, however, that it doesn’t have the protocol for changing the In-Progress grades in SHATGRD from TRF/0 to IP/100 or manually doing the override/edit in SHATAEQ after performing an articulation to give all of the credit from a grouping (e.g. 3.0cr ENG 101 + 3.0cr ENG 102 = 6.0cr ENGL 1010). Those things were discovered after the fact—and I’m sure there are a handful more little things we’ll find as we go along! From Sticky Note:

Unencumbering diplomas | from Colette 7/8: Asking that we add this to the wishlist to develop a process to unencumber diplomas on a regular basis. We used to do this in the mainframe system, just asking that we add this to our list in confluence. I believe the commencement coordinator can do this weekly with a cognos report and a new weekly process. |

ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
