Overview

OISS manages data on GOASEVS, while the Registrar manages data in GOAINTL and SPAIDEN. The VISA type indicated on GOAINTL should match the VISA type indicated on GOASEVS.

Because the data warehouse uses data from GOAINTL rather than GOASEVS, for reporting purposes, VISA type must be maintained on both pages.

Be sure to upload all documentation and communication regarding a VISA and/or citizenship change to BDM.

Determine if a change should be made

If the student makes the request to OISS, which is the most likely starting point, OISS will let us know if a change should be made.

If the student makes the request of the Registrar, use the following flowchart to determine if a change should be made.

Modify GOAINTL and/or SPAIDEN

Types of changes include non-citizen VISA to US Citizen, Permanent Resident to US Citizen, Non-citizen VISA to Permanent Resident, and Non-citizen VISA to a different Non-citizen VISA.

Non-citizen VISAs are those including F-1, J-1, L-2, etc.

Non-citizen VISA to US Citizen -or- Permanent Resident to US Citizen

GOASEVS

Review the GOASEVS to identify the date on the timestamp.

GOAINTL
  1. Identify all active VISAs. You will likely see an IPEDS VISA record and the non-citizen VISA record. Active VISAs may have no Start Date and/or End Date or today’s date falls within the Start Date and End Date.

  2. For all active VISAs, in the GOAINTL > Visa tab > End Date field enter the date from the timestamp in GOASEVS. Save.

  3. In the Nationality tab > Nation of Citizen field, remove the value so that the field is empty. Save.

SPAIDEN

In the Biographical tab > Citizenship field, change the value to Y US Citizen. Save.

Upload all documentation/communication to BDM.

Non-citizen VISA to Permanent Resident

GOASEVS

Review the GOASEVS to identify the date on the timestamp.

GOAINTL
  1. Identify all active VISAs. You will likely see an IPEDS VISA record and the non-citizen VISA record. Active VISAs may have no From/To date or today’s date falls within the From/To date.

  2. For all active VISAs, in the GOAINTL > Visa tab > End Date field enter the date from the timestamp in GOASEVS. Save.

  3. Insert a new record, and enter PR as the Visa Type and in the Start Date field, enter the date from the timestamp in GOASEVS. Save.

SPAIDEN

In the Biographical tab > Citizenship field, change the value to R Permanent Resident. Save.

Upload all documentation/communication to BDM.

Non-citizen VISA to a different Non-citizen VISA

GOASEVS

Review the GOASEVS to identify the date on the timestamp.

GOAINTL
  1. Identify all active VISAs. You will likely see an IPEDS VISA record and the non-citizen VISA record. Active VISAs may have no From/To date or today’s date falls within the From/To date.

  2. For all active VISAs, in the GOAINTL > Visa tab > End Date field enter the date from the timestamp in GOASEVS. Save.

  3. Insert a new record. Click the lookup/search button (3 dots) to open the STVVTYP validation table which displays all VISA type codes. Enter the appropriate code as the Visa Type and in the Start Date field, enter the date from the timestamp in GOASEVS. Save.

  4. Upload all documentation/communication to BDM.


Sample Cases

 1. Student is incorrectly coded in Banner with F1 visa type. OISS has the appropriate documentation to request an update to the correct visa type, which is H4.
  1. End the F1 the VISA in GOAINTL; for the End Date, use the date from the timestamp in GOASEVS.

  2. Add a new record in GOAINTL using the H4 VISA; for the Start Date, use the date from the timestamp in GOASEVS. Save.

 2. Student was a J1 student at Tulane and then applied for admission to a new program and already has an F1 visa but the Banner record still displays J1 status.

Contact the admitting office to correct the VISA.

  1. End the F1 the VISA in GOAINTL

  2. Add a new record in GOAINTL using the J1.

  3. Double check to make sure the nation of birth and citizenship and program dates are in GOAINTL. If they are missing, contact the admitting office to enter this data.

 3. Student attended Tulane with an F2 visa and is applying for admission to a program in which he will be eligible for an F1 visa.

Contact the admitting office to correct the VISA.

  1. The admitting officer should process the F1 visa through Banner following instructions for F1 visa processing. If the admission in the new program has occurred and the F1 visa has been processed via a paper form then Banner needs to be updated. GOAINTL Visa and Nationality Tab and GOASEVS, Common Data Tab.

  2. In GOAINTL > Visa tab, end the J1 Visa type. Insert and choose the new F1 Visa type. In the Nationality Tab, make sure the nation of birth and nation of citizen are entered. If missing, contact the admitting office to enter this data.

  3. In GOASEVS > Common Data tab, make sure the begin and end date of the program are entered. If missing, contact the admitting office to enter this data.

 4. Student attended Tulane with an F1 visa and is now a permanent resident or US citizen

Permanent Resident

GOASEVS

Review the GOASEVS to identify the date on the timestamp.

GOAINTL

  1. Identify all active VISAs. You will likely see an IPEDS VISA record and the non-citizen VISA record. Active VISAs may have no From/To date or today’s date falls within the From/To date.

  2. For all active VISAs, in the GOAINTL > Visa tab > End Date field enter the date from the timestamp in GOASEVS. Save.

  3. Insert a new record, and enter PR as the Visa Type and in the Start Date field, enter the date from the timestamp in GOASEVS. Save.

SPAIDEN

In the Biographical tab > Citizenship field, change the value to R Permanent Resident. Save.


US Citizen

GOASEVS

Review the GOASEVS to identify the date on the timestamp.
