Preparing the annual budget

Access accounting data 

  1. Open COGNOS Finance.

  2. Select “GL Budget Statement Report”.

  3. Select the appropriate month.

  4. Select “No” for “Exclude Accounts with Zero Balances”.

  5. Enter Organization Number. You can type Registrar and use it to search. Click the carat and change it to “Contains any of these keywords”.

  6. Click the account you want included. Click Insert.

  7. Enter Account Number. You can type Registrar and use it to search. Click the carat and change it to “Contains any of these keywords”.

  8. Click the account you want included. Click Insert.

  9. Click “Finish”.

 

Exporting data 

  • Click the triangle icon

  •  Click “Run” in your preferred format. Excel is common.

 

Updating the budget  

  • Use data from previous year or more.

  • Go through Natural Accounts and base new budget on those accounts and the office goals.

 

Using the spreadsheet

  1. Make sure Annual/Template is up to date.

  2. Look up Rev & Expense data (Accessing accounting data).

  3. Fill in Columns.

    • Monthly Spending/Income= Period to Date 

    • Income/ Spending to Date= Year to Date 

    • Available Budget= Remaining 

  4. Make sure all rows are accurate and match.
