Check settings, enter parts of term, and enter significant dates in SOATERM. This part of the Term Config process must be completed before the Class Scheduling team performs their course roll for the upcoming term.

  • Review and update SOATERM settings as necessary

    • SOATERM settings can be found in Term Config Bible - Chapter 1 - Ongoing Registration Activities & Processes.pdf, section 1.2.

    • Frequently the settings should match previous term settings, but sometimes there are Banner or business process changes that need to be reflected/enforced in these settings.

Registration tab

  • Request Effective and Charge Cutoff dates for term being configured from Mike Pilman (mpilman1@tulane.edu) in Accounts Receivable, and Tess Passey (tpassey@tulane.edu) in Financial Aid.

    • Once received, these dates will be entered on the SOATERM Registration tab, under Registration Fee Assessment.

  • Make sure that Self-Service Fee Assessment is set to “Batch Only” initially.

    • Mike Pilman will reach out at a later time to change the fee assessment settings.

Part of Term And Web Registration Controls tab

  • Use the complete and accurate POT master spreadsheet to build the Part of Term And Web Registration Controls tab of SOATERM for the configured term(s).

    • Census date should be entered as follows:

      • Fall terms = 10/1/YYYY
        Fall census is called on/around October 1st each year, and is the official census for the University for that academic year. This date will be updated for POT 1 when census is called.

      • Spring terms = 2/1/YYYY
        Spring census is called on/around February 1st each year. This date will be updated for POT 1 when census is called.

      • Summer terms = 7/1/YYYY
        There is no official census date for summer. July 1 is used as an unofficial summer enrollment date for reporting purposes.

    • Midterm and Final Grades will be manually turned on and off by OUR staff as required. 

      • Make sure they are all initially set to N.

    • It is rare that a new part of term is required, but if one is, it must be created in STVPTRM before configuring SOATERM.

    • Web Reg Registration Dates:

      • The Start Date can be a generic date for any part of term, but it needs to be occur before the first registration event for the term being configured. This will be Honors Weekend in the spring (for fall configured termsfall’s term configuration), and Spring Scholar registration in the fall (for spring configured termsspring’s term configuration).  Typically 2/15 is entered for spring registration periods (fall term config), 10/15 1 for fall registration periods (spring and summer term config).

      • The Start Date for summer terms will match that spring’s Start Date.

      • The End Date must be the latest DC or WW (Withdrawal With Record) date recorded in the completed POT templatemaster file. (DC indicates that the student dropped themselves online.)

      It is rare that a new part of term is required, but if one is, it must be created in STVPTRM before configuring SOATERM
      • and WW dates will be the last dates a student can change their registration themselves via Class Schedule.)

      • DO NOT enter Web Reg dates for year-long (40) terms.

      • The Web Registration Start Date drives when time tickets are displayed on the Gibson Student tab, and when the term becomes visible in the Confirm Student Time Ticket tool drop down menu.

  • Update STVTERM

    • For fall and spring terms, change the start and end dates to equal POT 1.

    • For summer terms, use the earliest start date and the latest end date for any summer POT.
