Curricula priorities are managed in SFAREGS if registration exists. Prior to registration, curricula priorities are managed in SGASTDN. The process on either screen works the same.

  • If you attempt to update SFAREGS for a future term that’s not yet available, you will get the following error. This is the indicator that the change must be made in SGASTDN.

Dual degrees

When a dual-degrees student reaches the point in their matriculation when the current priority 20 should become priority 10, the accepting school should be making this change. The accepting school can also be thought of as the “new priority 10” school.

Example: Student’s priority 10 is MPH and the priority 20 is MD. The student is moving back to the MD as the primary program, which should be updated to priority 10.

  • Who is the accepting school? SOM is the accepting school in this example.

  • How do the curricula change? SOM will change MD priority to 10 and MPH to 20 with notification to SPHTM.

  • When going back to 10 MPH and 20 MD, SPHTM is the accepting school. SPHTM changes MPH to 10 and MD to 20 with notification to SOM.

With dual degrees, neither degree should be inactivated or otherwise removed unless the student is altogether dropping one of the degrees. In this case, the dropped degree should be inactivated by the respective school. This applies also to leaves of absence: If the student is going on LOA from any SOM program, the SOM program should be changed to priority 20 by SPHTM and the SOM program should not be inactivated or otherwise removed.

Example: Student has priority 10 MPH and priority 20 MD. If the student wants to drop the MPH, SPHTM should inactivate (not delete) that curriculum by changing the MD to 10

Changing curricula priorities

In SFAREGS/SGASTDN, enter the term and ID in the key block. Start with the first effective term that needs to be updated. If needed, override with “OVR”. Go.

Review the current state to determine what needs to change

In the Curricula tab, review the current curricula priorities by using the right triangle to scroll through. We are only concerned about Current and Active curricula. In this example, we have two Current and Active curricula: MS MSW is priority 10 and the MSW MBA is priority 20. We need to flip them so that MSW MBA is priority 10 and MS MSW is priority 20.

Correct the priorities

To change priority 20 (MSW) to priority 10 and
  1. On the priority 10

(MS) to priority 20:
  1. Take a screenshot or make note of the current priority 10 curriculum, which in this example is the MS. Note the Catalog Term, Program, Level, Field of Study, Field of Study, Catalog (term), and Department.

  2. Scroll to the current priority 20 curriculumprogram, click the Update button. Overwrite the 10 with 30. Save.

  3. Select the priority 20 record. Click the Update button.

    Tab over until you get to the Priority field. Overwrite the 20 with “10”10. Tab and Save.

  4. Save. You will be directed back to the Curriculum block. Because we moved the original priority 20 into the priority 10 spot, we now have to create a new priority 20.

  5. In the Curriculum block, click Insert.

  6. The Priority field now displays “20”.

  7. Click into the Program field and enter the Program string for the new priority 10 curriculum (MSW). Tab. The Level will auto-fill, but be sure to check it. Next block.

  8. Enter the Field of Study. Tab. Department auto-fills, but be sure to check it. Save.

Alternative method

  1. Update the 10 to 30.

  2. Update the 20 to 10.

  3. Update Image Added
  4. Select the priority 30 record (originally 10). Click the Update button. Overwrite the 30 (from step 1) to with 20. Save.

Update the Student Type

Once the curricula have been updated, be sure to align the Student Type and with the priority 10 program.

  • In SGASTDN, you’re looking for the Student Type field in the Learner tab.

  • In SFAREGS, you’re looking for the Student Type field in the Student Term tab.

Update the attributes

Also update the attributes in SGASADD to align with the priority 10 program. See also: Managing student attributes (SGASADD)
