While the degree audit lists CIM/catalog requirements for students based on their programs of study, often exceptions, substitutions, or waivers may be applied to students’ audits on a case-by-case basis. If you do not have access to the Petitions feature, but feel you should, please contact the Registrar’s Office.

Access the Petitions tab in Degree Works

To submit a petition, first navigate to the student’s degree audit.  Click on the three dots above the upper right corner of the header:

Select Petitions:

A dialog box will open listing petitions currently added to the student’s audit, if there are any, as well as their current statuses. For more information on interpreting the status of a petition, see here Checking the status of degree audit exceptions.

Submitting a new petition

To submit a new petition, click the “Add a new petition” button.  A freeform text box will open that will allow you to describe what needs to happen within the student’s audit:

Petition Syntax Conventions

When entering a petition, please use the following syntax. DO NOT COPY AND PASTE EMAILS OR EMAIL THREADS DIRECTLY INTO THE PETITION. The Registrar’s Office will not be responsible for translating email requests.

  • Indicate if the student is planning to graduate in the current semester by starting the petition with the word “GRADUATING.”

  • Note the exception type:

    • WAIVE” or “WAIVER

      • This indicates that the exception will waive a full requirement, or the remainder of a requirement. This does not change the number of credits required for a major or minor.

    • APPLY

      • Please enter the subject, course number, section, and semester (if needed) of the course to applied to a requirement.

    • ALLOW COURSE

      • This will allow a course to appear as an option to satisfy a requirement in a future term. This should only be used for coursework a student has not registered for or received credit for.

    • CHANGE COURSE LIMIT

      • Some majors or minors require a minimum or maximum number of courses/credits with a certain quality (e.g., a minimum of two courses with the NSCI prefix; a maximum of 3 courses outside the department; a minimum of 4 electives above the 3000-level). Change course limit overrides that minimum or maximum.

    • SUBSTITUTION

      • Typically used for study abroad equivalencies. This exception allows a course that has been taken (Course A) to be the equivalent of another course (Course B). Course A will be considered by the audit in any requirement that Course B would normally be. For these types of exceptions, please include the section and term of the course taken.

      • OTHER

        • When in doubt, use other and describe what must be done.

    • Indicate the block and requirement (number and/or name) that is being modified.

    • Note who has approved the exception and when it was approved.
