Colleen’s admission process guidance
SPAIDEN (check name first to see if student is already in the system – do not create a duplicate record if person already exists, just update the information in the existing record – if unsure contact Colleen)
·      Make sure Matching Source says Online
·       Enter address/phone number and demographic information including ss# (address type for new students should always be PR – permanent address – also be sure to indicate citizenship and ethnicity & race under the biographical tab –use the new ethnicity field only then go to next block to enter race – if race is unknown please indicated unknown – do not leave blank)
·       Enter personal email address (type is 20)
·      Hit Next Block on the tool bar and the system will check for any matches - if no matches then create as new person.
Use GOAINTL to enter visa type and nation of citizenship for non-US citizens

SAAADMS (make sure entry term is for the semester the student is to be admitted)
·       Enter admission type (JD=LW, LLM=LM, SJD=LD, Visiting/Exchange=ND)
·       Enter student type (enter P for degree students and enter V for visiting/exchange students)
·       Enter residence (enter I for Louisiana residents, O or out of state and F  for international)
·      Indicate full or part time status
·      Enter D under decision status
Hit Next Block to move to program entry
·       Priority should be at 10 unless the student already existed and had a previous degree program at Tulane (if so then priority should be either 20 if one other degree program existed or 30 if two other degree programs existed – if unsure contact Colleen).
·       Select Program -choose from Base Curriculum Rules by Program on the pull-down menu (select the one with the _PR ending if this is their first law degree program at TLS. Select the _PR2 or _PR3 if this is their second or third law program at TLS.
·      Make sure level, college, campus and degree fields are filled in once program has been entered.
·       Click on the Field of Study tab and make sure major is listed under field of study (major is law for JD,  ADMR=Admiralty LLM, GLAW=General LLM, BLAW=American Business Law LLM, ALAW=American Law LLM, ILAW=Int’l & Comp LLM, ELAW=E&E LLM and DLAW=SJD, and the visiting/exchange students should have undeclared (UNDC) listed as major)
·       Select the Contacts, Cohorts, Attributes tab and click on the field under Attribute to enter student classification (you can select the attribute from the pull-down menu – RCL1=new JD, RCLS=transfer student, RCLM=new LLM student, RCLD=new SJD student, RCSL=visiting/exchange student)

SAADCRV (make sure that application information and degree program appear under application summary)
·      Click on the field for Decision Code under the Application Decision tab and enter CF for a deposited and confirmed student, the code AT for admit and accept can be used for visiting/exchange students who do not required deposit.
·      Hit the save button on the tool bar and make sure that you get the Learner Record Created verification.
Tips:
 You should not delete an old address in SPAIDEN. If the student already has an address for the mailing type you want, enter an end date in the To Date field for that mailing type and then go to Record on the tool bar and select Insert to put in a new address for that mailing type.Â
Make sure to hit the save button on tool bar after you enter new information on each field for the student.
Check bottom of screen for error messages or status messages.

ID numbers should never be released via ticket, phone, or email. Students can access their ID numbers via Gibson. Students needing ID numbers for transcript orders can enter their SSN or 9 0's in the ID number field.
