Posting Language Proficiency Credit

Throughout the year, the Language Learning Center (Stephanie Bradshaw) will submit a spreadsheet with language credit by exam that the Registrar’s office needs to post. She will provide student name, student ID, TERM, Course, Credits and Type (grade - always CE).

  1. Find course section -97 CRN in SSASECT in requested term (if it does not exist for any reason, create the CRN based on a previous term’s CRN data).

  2. Make sure grade mode is Z (administrative grading) on the section

  3. If they have grades in that term, SHATCKN term header will exist. If not, go to SHAINST.

  • first tab - Term Header Information

  • Add a space in End of term field and press save.

 

  1. Go to SHATCKN

  2. Enter Student ID and Term where Credit Needs to be added

  3. Under the “Course Detail” Block, enter CRN under “CRN”.

  4. Click Tab - This will populate all info in the Course Detail block

  5. Next block down to “Grades” block

  6. Enter grade of CE under “Grade” (nothing to enter in sequence number) and hit tab button

  7. Enter Z under “Grade Mode” and hit tab button

  8. Enter credits that the LLC has provided for the student/section under “Credit Hours” and hit tab button

  9. Enter 0 for “Attempted Hours” (you must change attempted hours if there are hours there. You will get a warning message about the mismatch of credit and attempted hours that you can ignore)

  10. Enter “Change Reason” as OE (original entry)

  11. Next block

  12. Enter Level (this is the student level where the course should point; ; (It’s almost always UG; you can find this on the student’s curricula tab in SFAREGS if not sure)

  13. Check primary under “Primary Level Indicator”

  14. Press save
