Printing a batch of transcripts - REG_TRAN_PRINT_BATCH_C
Registrar Batch Transcript Request Process (non-CIEE)
Batch Request Input File
The batch transcript request input file must be in the following format, including the header row.

Note: the TERM_CODE field is required for batch audit requests but does not affect the output of the batch transcript request. It is included in the batch transcript input file only to allow the same input file for both processes.
Download the Input File
Click on folder w/ two people (TEAM CONTENT; TU GROUPS; REGISTRAR; REGISTRAR REPORTS)
Find the batch transcript job to run (example: CR-LAST-007t – Degree LAST Majors. Files w/ “t” at end are for transcripts)
Double click on the file
Select all the terms you want to run the job for (if more than one, command click on the different terms)
Click FINISHED at bottom
When list shows up on screen, click the play button (RUN AS) and select Excel format. Then save the file. You’ll need to save it as a .csv (comma delimited) file on your computer before uploading in Banner.
Upload the Input File - Banner INB
Navigate to the file upload form (GUAFILE). GUAUPLP
Select “Reg Batch Transcripts” as the Interface Name.
Click the Select File to Upload button, browse to the CSV file of Banner IDs and click Open.
Request the Batch Transcript Job - AppWorx
Click the “Requests” icon and select the REG_TRAN_PRINT_BATCH_C chain and click Request.
Fill in the desired parameters and click Submit.
The REG_TRAN_PRINT_BATCH_C chain accepts the following parameters as input:

Batch Name: enter the name of the file that you uploaded, example: CR-LAWS-005t_Term_Date run
Transcript Type: Choose: ADVS (advising)– unofficial or ACAD (academic) – official
Print Transcript Through Term: 202110 Enter term for how far you want the transcript to show for each student. If in the middle of a term when run, will only generated finished course work, so you’d insert the previous term. For degreed students, it would be the term you are in b/c they are done. If unofficial and from NTC request in spring, for example, you’d include the summer term to show the courses the students are enrolled in.
In progress cutoff term – don’t change; leave as 999999
Enter the name of the file you uploaded so that PDF will have the same name. Don’t enter anything here if you are printing the transcripts.
Default Printer – leave as is
Official Layout – click NO if you choose ADVS; click yes if ACAD or MEDS
Batch Name | Descriptive batch name for printing on each header page. Do not include single-quotes (apostrophes) in the batch name field as they cause the batch transcript process to fail. |
Print Transcript Through Term | Transcript data will be generated from the beginning of each student’s career through this term. This is an optional override for the default value specified on GTVSDAX. |
In-Progress Cutoff Term | In progress data from the beginning of each student’s career through this term will be included on the transcript. This is an optional override for the default value specified on GTVSDAX. |
Export File Name (PDF) | The base file name to use when exporting to PDF. The date and time will be appended to the PDF file name. If this parameter is filled in, the results will output to PDF and will not be sent to the printer. |
Default Printer | The printer to output the batch of transcripts. The export file name parameter must be blank to direct output to the printer. |
Official Layout | Set to TRUE to use the official data format or FALSE to use the unofficial data format. |
