Overview/Background

Degree Audits are programmed by the Office of the University Registrar (OUR) Staff to reflect the University Catalog requirements for each program of study offered at Tulane. Once catalog changes are approved and published to academic programs' pages in the University Catalog via the Curriculum Inventory Management (CIM) system, the Degree Audit team scribes these updates to complete the full curriculum cycle and ensure that the audits reflect the most up-to-date curricula available for a program for the academic year.

At times, there is a need for academic programs to work with the degree audit team directly to address urgent requests pertaining to special course offerings (Special Topics courses) and/or audit inconsistencies, glitches, or errors. Schools, departments, and academic programs should follow the guidance below to report these issues to the OUR’s Degree Audit team.

When to Submit a Degree Audit Update Request outside of the CIM system:

Submit a degree audit request when:

  • A special topics course should fulfill a requirement for all students in a program (e.g., a special topics elective or core course).

  • A technical issue or “glitch” is affecting degree audits for multiple students (e.g., a course not counting correctly for all).

  • When an approved CIM update is not reflecting in the Degree Works system.

Timing note: When the University Catalog is published in May, the Degree Audit team begins scribing the updated catalog. By the end of August when the Fall semester begins, the audits should generally be updated to reflect the new catalog offerings barring any backlogs. By October, inconsistencies can be reported to the Office of the University using the protocol outlined below.

  • Program/Major/Minor Affected: (e.g., EEBI major)

  • Effective Term(s): (e.g., Spring 2026 onward, or specify catalog years or terms)

  • Reason for Change: (e.g., special topics course approved by department committee to satisfy elective requirement in the major.)

“Correct audit logic so that all 1-credit graduate-level SSE labs are recognized for the experiential learning requirement in the Psychology, MS.”

Compile a complete list of questions with course numbers and specific related program names before submission of ticket. Whenever possible, also include student ID’s for examples as well as degree audit block title and what requirement on the degree audit the course should satisfy.
