Double pointing transfer coursework
Use case: A student completed their undergraduate degree at TU with all institutional and transfer coursework pointing to the UG level. The student is subsequently admitted to a new undergraduate program at the U2 level. The department would like to point some of the transfer coursework applied to the first degree (UG level) to the new program (U2).
Unroll institution’s existing articulations in SHATAEQ
For the institution with the coursework to be double-pointed, unroll the existing articulation in SHATAEQ.
Enter the student’s ID number.
In the Institution field, click the Search button and select “View student institutions (SHQTRIT). Select the appropriate institution. (Don’t click Go.)
Click Tools (upper right with a gear icon). Select Equivalent Roll Info.
In the Equivalent Roll block, click the History Indicator drop down and select Delete from History and Save.
You’ll be re-directed to SHATAEQ. Click Tools and select Perform Unarticulation and Save.
Create a new attendance period in SHATRNS
For the institution with the coursework to be double-pointed, create a new attendance period in SHATRNS.
Enter the student’s ID number and institution code. If you don’t have the institution code, click the Search button.
Select View student institutions (SHQTRIT).
Double-click on the institution code.
On the attendance period field, click the Search button to identify the number of attendance periods currently listed. Most students will only have one attendance period per institution, but it’s good to check. Click Cancel (bottom right).
You’ll be redirected back to SHATRNS. Enter the sum of the attendance period + 1 and Go.
Enter the Attendance Period and Effective Term as the term of U2 admission. Enter the Level as U2. Save.
Copy the courses for the U2 level in SHATATR
Enter the Institution Code. Go.
Find a course in the list to be double-pointed. Click on it to view the equivalency information. Note the Equivalent Course information.
Click the Copy button.
In the Level field, change UG to U2. In the Equivalent Course block, enter the information you noted from a previous step. Save. Note that upon saving, the Equivalent Course Attributes block populates course attributes for the equivalent course.
If you’re copying a group, you’ll need to use the next transfer group sequence number.
Articulate coursework in SHATAEQ
Add the course to the student’s record in SHATAEQ.
Enter the student’s ID number and Institution code. Go.
Click on the last record in the list and click Insert.
Enter the course information. Make sure you use the new attendance period and level. Copy the grade from the original UG articulation, which you can reference in SHATAEQ as well.
If you’re double-pointing a group, be sure to use the correct transfer group number.
Save.
Articulate. Tools > Perform Articulation. Save.
Roll to academic history. Tools > Equivalent Roll Info > History Indicator = Roll to History. Save.
