Viewing the list of Department Schedulers + Looking up a course's department
The list of Department Schedulers shows who the staff administrators are in all Tulane academic departments. (In CLSS, schedulers are called “DUS”es – Designated Unit Schedulers, with a CLSS “unit” being a Tulane academic department.)
Courseleaf CLSS administrators should include all current Registrar staff members. These Registrar users can view the most updated version of this list using the steps below.
It’s ideal to view this list from the source, since role-changing at Tulane experiences very high traffic throughout the year. For that reason, it is also advised not to print/ laminate or attempt to circulate a physical copy - even for front-desk convenience - because it changes too frequently. (A Courseleaf help ticket in 2025 attempted to extend electronic access to additional users, but has been unsuccessful so far.)
When a student wishes to request certain overrides to register for a class, a Registrar user can look up the department scheduler(s) and direct the student to that scheduler (because the Registar’s Office does not have the authority to issue certain overrides). These overrides include:
a Capacity Override, if the class enrollment is full.
a Pre-Req Override, if the class has pre-requisite(s) that the students hasn’t fulfilled (exception: a Late Summer class with a pre-req in Early Summer; a student shouldn’t have to request this override because the Late Summer class is usually set up with pre-req concurrency).
a Departmental Override, for many other requirements, including:
if a class is set to Departmental Approval (or Instructor Approval)
if a class has restrictions that the student doesn’t meet (including major, class, or level)
How to view the full list of Department Schedulers:
NOTE: The list that will be generated below will originally include ALL Courseleaf provisioned users in any of the Courseleaf modules that Tulane uses (including CLSS, CAT, and CIM, at the time of this writing in November 2025).
Log in to the Courseleaf Console (using your SSO Tulane credentials):
https://nextcatalog.tulane.edu/courseleaf/Scroll down the left-hand list of links, and click on the first one under CAT: Catalog Report.
In the CourseLeaf Console - Reports screen, click Stock.
(First, you may have to wait for some syncing to complete, noted in a message at the top of the screen.)
Under Stock Reports, click Role Members.
Click the green Run Report button. This should generate the report/ list of department schedulers.
By default, it will be sorted A-Z by Role/User - so you may scroll down to find the department you need.
But you may click other columns to sort by their headers.
You may also use the standard keyboard shortcut of CTRL + F, and type in [dept code] DUS.
You can do some limited sorting (clicking column headers) and filtering (clicking the red Filter button) in Courseleaf.
But you may wish to export this list, so you can better sort/ filter it as an Excel spreadsheet (including filtering for just “DUS” text, since this list includes ALL Courseleaf provisioned users):
Click the red Export button.
NOTE: In the case of multiple people within one role, the Class Scheduling Team usually tries to list the primary person in the role as the first person in the order, when the department provides that specification. (If you wish to check this, do so BEFORE clicking any of the columns to sort.)
Looking up a course’s department:
If, after viewing this list, you can’t find a Role/User department code that matches the subject code of the course requesting an override, you may need to look up that course’s department. (Instructions on how to do this are below the table.)
Common examples:
Subject | Subject | Dept | Department |
|---|---|---|---|
EBIO | Ecology & Evolutionary Biology | EEBI | Ecology & Evolutionary Biology |
MCOM | Management Communications | BSLG | Legal Studies in Business |
SPAN | Spanish | SPPG | Spanish & Portuguese |
FREN | French | FRIT | French and Italian |
ARBC | Arabic | MENA | Middle East & North African Studies |
CPST; CSMT | Information Technology; Cybersecurity Management | TECH | Information Technology |
TYLR | Taylor Your Life | SISE | Social Innovation & Entrepren(eurship) |
SOWK | Social Work | SOCW | Social Work |
DRLS | Disaster Resilience Leadership Studies | SOCW | Social Work |
CENG | Chemical Engineering | CHE | Chemical & Biomolecular Eng(ineering) |
BIMI | Biomedical Informatics | BMSP | Biomedical Sciences |
ASLS | American Sign Language Studies | LING | Linguistics |
INTD; | Interdisciplinary Studies; | SOLA | School of Liberal Arts |
ISIB | International Studies in Business | NCTC | Newcomb-Tulane Studies |
NOTE for departmental overrides:
A class with a major restriction will display the major’s name (not its code) on the Class Schedule website. If a student pursuing that major (name) attempts to register for that class but gets a major error, that student may have a different major code than the major code on the class restriction (but the two different major codes may have the same major name). You will need to compare the restriction code in SSARRES versus the student’s major code in SGASTDN – and alert the department, so that they may choose to add the different major to the class’s restrictions.
Example:
Go to Banner > SCACRSE.
Enter the code for the Subject, Course, and Term of the course.
Click Go.Reference the Department code. This code will be used in the list of Department Schedulers.
For Registrar Courseleaf-dedicated staff only:
How to view (and edit) the Department Scheduler(s) for a specific department:
Instead of running a full Catalog Report, you may wish to go straight to a specific department. A Registrar admin may do this in Role Management.
Log in to the Courseleaf Console (using your SSO Tulane credentials):
https://nextcatalog.tulane.edu/courseleaf/Scroll down the left-hand list of links, and in the first group under CourseLeaf, click Role Management.
A pop-up window will appear.
Under Role Groups: UNGROUPED,* click the blue pencil icon to view the full list. (Clicking this pencil does not require you to edit.)
*As of 11/2025, shortly after implementing CL-10, Tulane does not use groups.Another pop-up window will appear, displaying the full list of Role Names A-Z. You may scroll down to find the department, or type of CTRL + F, and type in [dept code] DUS.
When you find the role, click the pencil-in-square icon (again, to view and not to make edits if unneeded).
Another pop-up window will appear, displaying the full list of names of users in that role, and indicating who is the primary (which might not be accurate, depending on available data and CL-10 recent implementation).
Be sure to scroll to view all users, if the list is longer.
