Maintaining citizenship, visa type, and nation of citizenship for international students (SPAIDEN, GOAINTL)

Overview

OISS manages data on GOASEVS, while the Registrar manages data in GOAINTL and SPAIDEN. The visa type indicated on GOAINTL should match the visa type indicated on GOASEVS.

Because the data warehouse uses data from GOAINTL rather than GOASEVS, for reporting purposes, visa type must be maintained on both pages.

Be sure to upload all documentation and communication regarding a visa and/or citizenship change to BDM with the ‘proof of citizenship’ document type.

Determine if a change should be made

To summarize, a change is needed when OISS notifies us or when the GOASEVS visa reflects the visa/citizenship requested.

  • If the student makes the request to OISS, which is the most likely starting point, OISS will let us know if a change should be made.

  • If the student makes the request of the Registrar, use the following flowchart to determine if a change should be made.

For the conditions indicating OISS contact is needed:

  • If OISS tells us to modify the visa, they will provide the information we need to make the change.

  • If OISS tells us NOT to modify the visa, notify the student a change can’t be made and refer them to OISS.

Make changes in GOAINTL and/or SPAIDEN

Types of changes include non-citizen visa to US Citizen, Permanent Resident to US Citizen, Non-citizen visa to Permanent Resident, and Non-citizen visa to a different Non-citizen visa.

Non-citizen visas are those including F-1, J-1, L-2, H-1B, etc.

Review GOASEVS to identify the Activity Date and Visa Type.

  1. Identify all active visas. You will likely see an IPEDS visa (IP code) record and the specific non-citizen visa record. Active visas may have no Start Date and/or End Date or today’s date falls within the Start Date and End Date.

  2. End both the IP and specific visa records. For each record: in the GOAINTL > visa tab > End Date field enter the date from the timestamp in GOASEVS. Save.

  3. In the Nationality tab > Nation of Citizen field, remove the value so that the field is empty. Save.

SPAIDEN

In the Biographical tab > Citizenship field, change the value to Y US Citizen. Save.

Upload all communication to BDM with the ‘proof of citizenship’ document type.

Non-citizen visa to Permanent Resident

Review GOASEVS to identify the Activity Date and Visa Type.

  1. Identify all active visas. You will likely see an IPEDS visa (IP code) record and the specific non-citizen visa record. Active visas may have no From/To date or today’s date falls within the From/To date.

  2. End the specific visa record. GOAINTL > visa tab > End Date field enter the Activity Date in GOASEVS. Save.

    1. No changes are needed to the IP visa record.

  3. Insert a new record, and enter PR as the visa Type and in the Start Date field, enter the date from the timestamp in GOASEVS. Save.

SPAIDEN

In the Biographical tab > Citizenship field, change the value to R Permanent Resident. Save.

Upload all documentation/communication to BDM with the ‘proof of citizenship’ document type.

Non-citizen visa to a different Non-citizen visa

  3. Insert a new record. Click the lookup/search button (3 dots) to open the STVVTYP validation table which displays all visa type codes. Enter the appropriate code as the visa Type and in the Start Date field, enter the date from the timestamp in GOASEVS. Save.

  4. Upload all communication to BDM with the ‘proof of citizenship’ document type.
