Adding and removing Probation academic standing on a student's record (SHAINST/SGASTDN)

Before you begin

Know before you go:

  • The use of the Probation academic standing is to record quality of work that does not meet minimum requirements for a student’s program but not to the extent requiring dismissal.

  • Probation does not appear on the transcript and does not require reporting to the Registrar’s Office. Probation does not prevent registration.

  • The change in academic standing to Probation and return to Good Academic Standing (at TU, No Academic Standing is equivalent to Good) is effective at the end of the term. For example, a student whose GPA drops below the minimum as a result of their fall grades should have probation with an effective term of fall.

  • As best practice, schools should provide and store formal communication to students when their status changes to Probation or Good Academic Standing.

Adding the Probation academic standing

  1. If appropriate, enter a hold on the student’s record in SOAHOLD to encourage an intervention or counseling prior to registration.

  2. In SHAINST, enter the ID and the effective term. Go.

  3. In the End of Term Academic Standing Field, select or enter the PR code (Probation). Save.

Return to No Academic Standing

If you added a hold when the student went on probation, be sure to end it.

Registration for the return-to-good-standing term is not open - SGASTDN

In the Academic Standing and Graduation tab > Academic Status block > Academic Standing Override field, enter the 00 (Good Standing). Save.

Registration for the return-to-good-standing term is open - SFAREGS

In Student Term tab > Academic Standing field, enter 00 (Good Standing). Save.

If both spring and summer registration is open, and the student is reinstated for spring, be sure to enter the new Academic Standing for both spring and summer.
