Entering Honor Code violations (SHATCMT)

Before you begin

Know before you go:

  • Students with pending Honor Code violations may not be dropped or withdrawn for any courses under Honor Code review.

  • Note that Honor Board violations do not print on the transcript. However, if a student is dismissed as a result of the violation the academic dismissal will show on the transcript although there will be no mention of the Honor Board violation itself on the transcript.

SHATCMT key block

In the key block:

  • Enter the student’s ID number

  • Enter the student’s level (UG for undergraduate, GR for graduate, PR for professional, M for Medicine)

  • Leave the Originator and Term fields blank

Click Go.

Enter the Honor Code violation

  1. In the Academic Events tab > Academic Events block > Event field, enter HBV (Honor Code Violation).

  2. In the Decision field, enter the term in which the violation occurred.

  3. If the student is given a grade of F, enter “WF” in the Grade field. If not, leave the Grade field blank.

  4. In the Effective Date field, enter the date of adjudication. Save.

If applicable, enter probation begin and end terms

If the violation results in a student’s probation, enter the terms in which the probation begins and ends. (Disambiguation: Honor Board violation probation is entered only in SHATCMT and not in SHAINST like in probation due to quality of work.)

Click Insert to add a new line.

  1. In the Event field, enter HPB (Honor Board Probation Begin).

  2. In the Decision field, enter the effective term the probation begins.

  3. In the Effective Date field, enter the date of adjudication. Save.

Click Insert to add a new line.

  1. In the Event field, enter HPE (Honor Board Probation End).

  2. In the Decision field, enter the effective term the probation ends.

  3. In the Effective Date field, enter the date of adjudication. Save.

Examples

Adjudication of Probation

A student is adjudicated in violation of the Honor Code in 202430 and as a result they are graded in the course(s) of violation as an F and are on probation for the next term only.

  1. Enter the HBV code with a Decision of 202430 and Grade of WF.

  2. Enter the HPB code with a Decision of 202510.

  3. Enter the HPE code with a Decision of 202520.

Adjudication of Probation

Adjudication of Dismissal

A student is adjudicated in violation of the Honor Code and as a result they are graded in the course(s) of violation as an F and are dismissed for either one or two terms.

  1. Enter the HBV code with a Decision of 202430 and Grade of WF.

  2. Add a registration hold to the student’s record in SOAHOLD using the Dean Origination Code. Although not required, you may enter a short statement in the Reason field, which will display to the student when they view their holds in Gibson.

  3. Open a ticket with the Registrar’s Office that includes proof of student notification of dismissal and any relevant drop/resignation forms.

    1. The Registrar’s Office will enter the dismissal in Banner which will display on the transcript. (While not pictured below, an additional note will be added to indicate the terms in which the dismissal is effective. For example, “Academic Dismissal: Spring 2025)

  4. Upon reinstatement, end the registration hold in SOAHOLD. Activate/create a new effective term for the returning term (see also: Viewing and managing a student's active/inactive status (SGASTDN/SFAREGS))

  5. Notify the Registrar’s Office that the student is eligible to enroll.

    1. The Registrar’s Office will end the academic dismissal from the student’s record.
