Changing grades via FREVVO NTC Advising form

The Frevvo NTC Advising Grade Change form was created by NTC Advising and is not a Registrar owned Frevvo form. Only NTC students are served by this grade change form and is only initiated by the NTC advisor.

The NTC Grade Change form is for retroactive requests such as:

  • changing an earned grade to a W

  • grade mode changes

  • ? changing a UW

Important to note:

  • Cannot be used for current term requests or without an original grade posted

  • This form may be submitted as a result of a CAR petition or medical withdrawal

  • Form does not show effective date, but does show reason for grade change

  • Does not currently allow for changing a W to a letter grade or to remove W and drop without record

  • The Frevvo NTC grade change form can serve as both a grade change request and a drop with record request

  • If several Frevvo NTC grade changes are submitted for the same student in the same term and would result in 0 credit hours, a resignation form is required in order to process the drop and grade change for the last course with credit

    • Search the ticketing system to see if a resignation form has already been submitted by NTC Advising

    • If there isn’t a ticket for the resignation, email the NTC advisor and NTC Dean Advisor, both listed on the Frevvo form, to request the resignation form. Once the resignation form has been provided, the grade changes and resignation processed in Banner, forward the email chain to the ticketing system so a record is accessible outside of personal email

  • Email notifications are sent to relevant Registrar staff once individual Frevvo NTC Advising grade changes have been approved and are ready for Registrar processing. The email provides a link to the individual request

  • Accessing https://forms.tulane.edu/ will display all current unprocessed tasks available to the logged in user. Tasks can differ among Registrar staff, dependent on what you are assigned. Changes to assigned tasks can be requested through IT

    • If other Registrar staff processed the NTC Advising Grade change, it will not appear on your tasks

    • Open a request by selecting the play icon image-20250616-223633.png

    • If another Registrar staff member has opened an individual NTC Advising grade change request recently, it will be “locked” to that user ?not sure how long exactly, 1 day?

    • Only the user who “locked” a request can unlock it, by clicking the unlock icon in the middle image-20250616-222943.png

 

To Process

Note the Tulane ID, Term, courses listed in the Schedule section, CRN, Current Grade, and New Grade. Drop the course in SFAREGS. Change the grade in SHATCKN.

  • Drop all NG/non-graded courses without record and remove NG grade in SHATCKN. DO NOT drop NG course with record or enter a W in SHATCKN.

  • Note about resignations

Once processed in SHATCKN, complete Registrar Approval section. Select ‘Yes’ for “Has the student record update been completed?”. Click on the image-20250616-224433.png line and your name will populate. Click Finish button.

Course Information section is a live representation of a student’s enrollment. Once a course has been dropped, it will not appear on any subsequent Frevvo NTC Form for the same student and term.

Chloe Process: I open all requests for same student and note the term for each. If they are all from the same term, I will process the drop of all courses first, before completing Registrar approval, then go to SHATCKN to process grade changes and complete the Approval separately as I enter each course grade in SHATCKN and Save.
