Adding a prior institution (SOAPCOL)

Overview

This guidance demonstrates how to add a new prior institution in SOAPCOL. Prior institutions display on the unofficial and official transcripts. This information should be fed from Slate into SAAADMS and then into SOAPCOL. When this does not occur upon the entry of an applicant decision code in SAADCRV, prior institutions must be added in SOAPCOL.

Post-baccalaureate students with a prior institution not reflected on their transcript should contact their graduate director. The graduate director should provide us with the official transcript to request that the prior institution be added to the student’s record via ticket.

1. In the key block, enter the ID number. Click Go.

2. In the Prior College block, click Insert.

   

3. Enter the institution code. Click the button with the 3 dots to bring up the institution search code.

   

   1. Historically the Name was limited to 30 characters, but has been updated to include more characters. Prior to the increase in characters, many institution names have been abbreviated. When searching, I suggest that you make your search as broad as possible.

      1. Example: University of Tennessee Chattanooga. Use %Tenn% to search, which pulls in all results with anything before Tenn and anything after Tenn. Remember that using '%' is the wildcard character.

      2. You can also use City and/or State separately or in combination with the name.

      3. Once you enter the criteria, click the Go button.

         

      4. Click on the institution to select and click the Select button. Alternatively, double click on the institution.

         

   2. Indicate that the transcript is official by checking the Official Transcript box on the transcript.

      

Taking these steps allows the prior institution to display on the transcript. Prior institutions display on the transcript with the most recently added first.
