Michelle, Nicole, Denise, and Colette developed potential processes and discussed their pros and cons. We also identified action items.

1️⃣ Process Option 1

  1. Student contacts our office and is directed to make an appointment.

  2. Student makes appointment for an online meeting for admission and registration.

  3. Student receives appointment confirmation which includes link to incident to upload forms.

  4. Student uploads forms to incident.

  5. Registrar agent reviews forms prior to appointment to identify potential barriers to registration and communicates with the student.

    1. Registrar agent reviews appointments to ensure forms have been provided prior to the appointment and notifies student of missing/inadequate forms. Registrar agent reserves the right to ask the student to reschedule if forms are not provided by the day before the appointment.

  6. Student resolves potential barriers.

  7. Student is admitted/registered at the appointment.

Pros

  • Student has an opportunity to resolve potential barriers prior to the appointment.

Cons

  • Student may be under the impression that they are registered because they uploaded their forms.

  • Students may be confused by using two separate tools (scheduling app and incident form).

2️⃣ Process Option 2

  1. Student contacts our office and is directed to make an appointment.

  2. Student makes appointment for an online appointment for admission and registration.

  3. Student attends the appointment and provides forms in the appointment via email to the Registrar agent.

  4. Agent reviews forms and identifies barriers to registration and gives advice on how to resolve barriers.

  5. If there are no barriers, the student is admitted/registered at the appointment.

  6. If there are barriers, student sets a second registration appointment at the end of the first appointment.

Pros

  • Reduces the impression that the student is registered upon submission of forms.

Cons

  • Student doesn’t get timely feedback about barriers to registration or insufficient forms, which can impact the availability of courses between the first and second appointment.

  • Loss of productive appointment time due to potential technical issues during the meeting.

3️⃣ Process Option 3

  1. Student initiates consortium process with Loyola.

  2. Loyola provides us the information for admission.

  3. We admit student and assign them a time ticket.

  4. We provide regular reports to Loyola.

Notes

  • This applies to Loyola students only.
